Distribution & wholesale
You buy to resell. The stock is the business.
What your stock is worth, what is reserved, what is still to arrive, what a batch actually cost. VIA ERP holds those four numbers in one place, and refuses to invent one when it cannot work it out.
Stock across several warehouses
Business+Warehouses, stock levels, movements, entries and exits, adjustments, ad-hoc counts.
Several warehouses, and transfers between them Business+
A transfer is a document, with its origin, its destination and its state. Also available as a monthly add-on if your plan does not include it.
Reservations that hold
A reserved quantity is reserved once. Reservation and stock relief share one concurrency guard, which re-reads the row before writing and starts over if it moved in between — two simultaneous orders cannot reserve the same pallet.
Locations inside the warehouse
Aisles, bins, zones. Switched on for the organisation, then warehouse by warehouse: one depot can work by location while another stays bulk.
Level alerts
A threshold per product and an alert when it is crossed. On by default, with no plan condition.
Buying
Business+The whole cycle, from an internal request to a supplier return.
Purchase requisitions
What somebody asks for before it becomes an order. It follows the same approval route as an order, with no restriction of its own.
Requests for quotation
Invite suppliers, record their responses, compare them, award — and split the award, when no single supplier takes it all.
Goods receipt
Partial receipt, inspection on arrival, and over-receipt blocking: what was not ordered does not slip into stock.
Three-way match
Order, receipt, invoice. With its tolerances, and an automatic detection pass every six hours over whatever is not yet matched.
Returns and backorders
A supplier return runs through to the debit note and the credit. What is still owed after a partial delivery stays visible as a backorder.
Threshold approvals Professional+
Several levels, triggered by amount. The route applies from the purchase requisition through to the supplier invoice.
Vendor scoring — delivery, quality, price stability, responsiveness — is read on the vendor's own record, in the tab that carries it. It is not a separate scorecard screen.
Knowing what the stock is worth
Business+Three valuation methods, and a closing figure that does not quietly recompute.
First in, last in, or weighted average
Chosen in general settings and applied across the organisation. All three are genuinely implemented.
Cost layers
Every receipt keeps its own cost. What leaves consumes layers in order, and the cost of what left is the cost of the layers consumed, not a recomputed average.
A snapshot at period close
A period's valuation is frozen when it is taken. With no snapshot at the instant asked for, the report refuses to answer rather than valuing today's layers and passing that off as last month.
Ageing and the GL tie-out
What is sitting still and since when; and a report reconciling stock value against the general ledger.
Tracing a batch to the customer
Professional+Batches and serial numbers sit behind one plan key, and additionally need switching on for the organisation.
Batches and serial numbers
Follow a batch from receipt to delivery, or an individually identified unit one by one.
Picking and putaway
Pick lists for what goes out, putaway rules for what comes in.
Barcode scanning
A screen inside the application, opened on a warehouse device. Not a separate app to install.
A cycle-count programme
Counts generated to a plan, distinct from the ad-hoc count anyone can run.
What VIA ERP does not do
The four things a distributor otherwise discovers mid-rollout.
- Auto-reorder proposes, it does not order
It creates a purchase order in draft and skips products that already have one open. Nobody commits the spend on your behalf.
- Scanning works online
The device has to be connected. There is no offline mode that would replay movements when the network returns.
- No vendor price breaks and no blanket agreements
A negotiated price is held per vendor and per product. Quantity or date ladders, blanket contracts with call-offs, and PO-less receiving are not available.
- No standard-cost option
Valuation is first in, last in or weighted average. A business that runs on standard costing will not find its method here.
What your plan needs to include
Stock, purchasing and valuation need the Business plan. Batches, serial numbers and landed costs need Professional. Multi-warehouse can also be bought on its own, as a monthly add-on, if that is all you need.
Importing your data depends on no plan at all: products, suppliers, warehouses, opening stock and reorder rules load from a spreadsheet the day your organisation is created.
See this on your own stock
Bring an extract of your catalogue and your stock receipts: we will look together at warehouses, reservations and the valuation method that fits how you trade.
